What a KILM maintenance contract includes

Planned visits

Visit frequency set by plant type, duty and environment rather than a flat template. Kitchen and high-dust areas get seen more often than a quiet office split.

Compliance and records

F-Gas obligations sit with the operator of the equipment, not the contractor. Our job is to make it straightforward to meet them.

  • Records of any refrigerant added or recovered
  • Service sheets issued after every visit
  • Remedial works quoted separately and clearly

Taking over a site that has been let go

This is a large part of what we do, and it is rarely a disaster — it is usually just years of small omissions.

The pattern is familiar: nobody can produce an asset list, F-Gas logs stop several years ago, half the indoor units have never had a proper coil clean, and the last contractor's reports say “serviced” with no readings behind them. Plant then fails in the first hot spell and everything becomes an emergency.

We start with a survey visit, list what is actually installed, and grade the condition. You get a written picture of the estate, the compliance gaps, the immediate remedials and a realistic PPM schedule and cost. From there it is ordinary, uneventful maintenance — which is the point.

Common questions

How often should commercial air conditioning be serviced?
It depends on the plant and the environment rather than a fixed rule. Office splits and VRF indoor units are commonly on two visits a year; kitchen, high-dust or heavily loaded plant needs more. Separately, F-Gas leak-check frequency is set by refrigerant charge and is not the same thing as a service visit, although the two are usually combined.
What is included in a PPM visit?
Filter, coil and drain condition, electrical connections and running currents, operating pressures and temperatures, controls, sensors and time schedules, belts, bearings and fan condition on AHUs, and condenser cleaning and airflow checks. Readings are recorded on the service sheet, and anything found outside the scope is quoted as a remedial rather than done unannounced.
Can you take over a maintenance contract mid-term?
Yes, and it is a large part of what we do. We start with a survey rather than a quote, list what is actually installed, grade condition, identify the compliance gaps and price the immediate remedials, then set a realistic PPM schedule from what is there.
We have no asset register or F-Gas records. Is that a problem?
It is common and it is fixable. The register is rebuilt from the plant during the survey, and leak-check frequency is calculated per system from the nameplate charge. Records start from the point they can be evidenced.
Do you cover multiple sites under one contract?
Yes. Portfolios are run with the same asset data fields, visit checks and service-sheet format across every site so the reporting is consistent rather than varying by engineer or location.
